FAQs

Tentative bookings
All bookings are held as tentative for a maximum of 14 days. The initial deposit and signed acceptance must be received within 14 days of the date of the initial booking request or the function space will be released without notice.

Confirmed bookings
All bookings will be confirmed once the signed acceptance and payment guarantee form have been received and the initial deposit for event space has been processed. Full prepayment for conferencing is required 7 days prior to your event. Bookings are not confirmed until an initial deposit has been received. This payment can be made by direct deposit, cheque or credit card payment and it should be noted that a purchase order will not be accepted in place of a monetary deposit.

Payment Terms
All accounts will be required to be paid in full 7 days prior to your event, and a credit card number is required to be held as a guarantee for any additional charges that may be incurred. All additional charges are to be paid at the conclusion of the event, which may also include any charges not authorised in the original contract.

Payment Options

Credit Card
Payment will be settled 7 working days prior to the event start date using the nominated credit card. Please note a commission fee of 2% will be applied to the total of the master account.

Direct Deposit
Payment must be received no less than 7 working days prior to the event start date and a remittance advice must be forwarded to 1330 as proof of this payment. Should you choose this method of payment, a credit card is also required at the time of booking as a guarantee of payment. Should payment not be received 7 working days prior to the event start date, the credit card on file will be charged.

Cheque
Should you choose this method, payment must be received by 1330 no less than 10 working days prior to the event start date. Please note, a credit card is also required at the time of booking as a guarantee of payment. Should payment not be received 10 working days prior to the event start date, the credit card on file will be charged.

Conference and Events Payments
INITIAL DEPOSIT OF 20%
An initial deposit of 20% will be required upon the confirmation of the event. This will ensure the event is confirmed and the agreed dates and venues are reserved for your exclusive use.

7 WORKING DAYS PRIOR TO THE EVENT
Full and final payment of the remaining estimated value of the event is to be confirmed by this date. Final numbers for catering purposes must be supplied at this time. The event will then be considered paid in full and will proceed.
The only variance to this schedule will be if prior arrangements have been made with management for the extension of credit facilities and the Academy has approved the aforementioned facility in writing.

Conference and Events : Event Cancellations/Amendment to Dates
Note: All cancellations/amendments must be received in writing to 1330. This cancellation policy applies to all plenary and break out rooms.

Cancellations/amendments to dates of more than 30 working days prior to the event start date
Written cancellations received more than 30 working days prior to the event commencing will be refunded the full deposit. For those bookings with an amendment to the dates, the deposit will be carried across to the new date. Please note, the transfer of dates applies once only. Should the date be amended more than once, 100% of the deposit will be forfeited.

Cancellations/amendments to dates between 29 & 14 working days prior to the event start date
Written cancellations or amendments received between 29 and 14 working days prior to the event commencing will be charged 100% of the deposit paid.

Cancellations/amendments to dates between 13 & 4 working days prior to the event start date
Written cancellations or amendments received between 13 and 4 working days prior to the event commencing will forfeit the full deposit .Additional catering and room hire charges may apply at the discretion of 1330.

Cancellations/amendments to dates less than 3 working days (72 hours) prior to the event start date
Written cancellations or amendments received less than 3 working days prior to the event commencing will forfeit the full deposit. Additional catering and room hire charges equivalent to 100% of the estimated charge of the event will also apply.

Guaranteed Numbers and Catering Requirements
Confirmation of the number of guests attending the function is required seven days prior to the event start date:This minimum number supplied will be catered for accordingly.

Additional charges and surcharges
In the event of room set up requirements being amended within 7 working days of the event start date, 1330 reserves the right to on charge a fee of $200.00.

An additional labour charge may apply if your event continues after the agreed completion time. In the event of your function continuing after midnight, a service charge of $400.00 will apply for each additional hour or part thereof.At the discretion of 1330, a surcharge may be applicable for events held on weekends, public holidays and gazetted industry holidays. An entertainment license may apply, subject to local legislation.

Prices
The prices are current at the time of quotation (inclusive of GST) but may be subject to change at managements discretion to meet any form of rising costs. Prices may increase at any time without notice due to increased direct costs or changes in, or introduction of government charges and/or taxes.

Responsibility
Should 1330 be unable to provide the facilities reserved due to circumstances beyond our control, no further claim other than an entitlement to a full refund of any deposits previously paid may be made. Every effort will be made to provide the organiser with reasonable notice should this situation arise.

Compliance
The client will be responsible to ensure the orderly behaviour of delegates and 1330 reserves the right to remove those persons who in its opinion are creating a disturbance. This includes instances of behaviour that may affect the enjoyment of 1330 by other guests.

Security
1330 reserves the right to request security requirements at the clients expense. Every effort will be made to discuss these arrangements with the client as soon as possible after contracting an event.

Cleaning
General and normal cleaning is included in the cost of the room hire. Additional charges may be incurred in instances where an event has created cleaning requirements that are considered to be over and above normal cleaning.

Displays, Signage and Damage
The organiser will be held responsible for any damage sustained to 1330 property. 1330 reserves the right to request a bond, which is fully refundable on the successful completion of your function. The client will be financially liable for any damage caused to 1330 property through their own action or through the action of their appointed contractors or delegates.

1330 does not permit anything to be attached or affixed to any wall or other surface without prior written consent.

Advertising and photography / Recording of the Event
Prior permission is required to use the 1330 name and/or logo in print and/or audio visual display. All proposed artwork must be approved by 1330 management prior to publication. Prior permission is also required for photography, sound or video recording events or guests in the 1330 facilities.

Insurance
1330 will take all necessary care, but cannot take responsibility for the damage or loss of items before, during or after a function. It is advisable for organisers to arrange their own insurance cover for property damage and public liability where appropriate.

Outside Contractors
For all exhibitors and stage setups produced by outside contractors, plans must be approved by 1330 Management, a minimum 30 days prior to your Event. If you directly engage any contractor, agent or servant to services for you within the Academy, such contractor, agent or servant must establish to the satisfaction of 1330 that they have currently in force adequate Workers Compensation and Public Liability Insurance. They must also agree to provide documentary evidence of such insurance to the Academy.

You will further be responsible to indemnify and keep indemnified, 1330 from and against all liabilities, actions, claims, demands, losses, damages, costs and expenses for or in respect of loss or of damage to property, loss of life or personal injury to persons for which 1330 may be come liable by reason of any act or omission on the part of you or your contractors, agents or servants. The outside contractors must liaise with 1330 Management in all matters of delivery, setups, break down and removal of items, displays, merchandise, etc.

Liability for Client merchandise / Goods
1330 will not accept any responsibility for damages or loss of merchandise or other goods left in 1330 or function area more than 48 hours after the function has concluded. Any goods remaining at 1330 after this time will be deemed abandoned and 1330 may dispose of or otherwise deal with those goods as if those goods were the property of the Academy. 1330 will not be responsible to the Client for loss it may suffer as a result.

Delivery and Collection of Goods
1330 will only accept the delivery of goods two (2) working days prior to the event. After the event all goods must be collected within two (2) working days. 1330 accepts no responsibility for any items delivered or left for collection and accepts no responsibility for damage to, or loss of these items. 1330 must also be notified in advance of all items that are to be delivered to 1330.
